Here are some of the main tips for good email writing:
- Use a professional email address.
Your email address should be something that is professional and appropriate for your work environment. Avoid using addresses that are cute, funny, or otherwise unprofessional.
- Have a clear subject line.
The subject line is the first thing the recipient will see, so make sure it is clear and concise. It should accurately reflect the content of your email.
- Start with a greeting.
Address the recipient by name, and use a formal greeting such as “Dear Mr. Smith” or “Dear Ms. Jones.
- Get to the point quickly.
The recipient of your email is busy, so don’t waste their time with unnecessary preamble. Get to the point of your email as quickly as possible. - Be clear and concise.
Use simple language and avoid jargon. Your email should be easy to understand.
- Proofread your email before sending it.
Make sure there are no errors in grammar or spelling. - Use a professional tone.
Avoid using slang, emojis, or other informal language. Your email should be professional and respectful. - End with a closing.
Use a formal closing such as “Sincerely” or “Best regards.” - Include your signature.
Your signature should include your name, title, and contact information
- Here are some additional tips that you may find helpful:
- Use active voice instead of passive voice.
- Avoid using all caps or excessive punctuation.
- Use bullet points or numbered lists to make your email easier to read.
- If you are sending an attachment, make sure it is the correct file type and size.
- If you are asking for a reply, specify a deadline.

By following these tips, you can write professional emails that are clear, concise, and effective
1– Use the 4 point formula almost all of the time
A. The Setup

2- Grab my attention
Using ‘Media Res’ and Bleed in the first line
3- “Thoughts, Feelings & Dialogue”
Ideally, at least twice. Not just “events”. Put your “Thoughts, Feelings and Dialogue in Italics” and bold if you want to emphasize
4- Word Count
Should be 150 – 350 words. Until you’re a good copywriter, then you can go to 400 and beyond (Most of my ‘story’ emails are still in the 200-350 range)
5- Cut the waffle
If it’s not necessary to say it, then it’s necessary NOT to say it. Email stories are different to books and long form sales letters. Cut your word count down wherever you can
6- A story must have – by definition, these 4 elements:
1. Setting
2. Character or characters
3. Conflict
4 .Resolution
7- Emotion:
A great story is not what happened, it’s how you tell what happened. Emotion is the most powerful element in storytelling. Take your reader on an emotional rollercoaster
You want your readers to feel shame, fear, anger, hope, sadness, joy, laughter, pain, suffering, envy, greed, happiness, surprise, jealousy and everything in between
8- Make me laugh
If you can that is. Humour is VERY captivating… “My office looked like I’d been burgled by a pack of hungry Wolverines chasing a mouse”
9- Create EMPATHY and LIKEABILITY
For your hero (you or the main character). My Storytelling Masterclass teaches how.
10- Write “Conversationally”
Aka ‘Write as you Speak’ (Yay!, OMG!, Ugh… CREAK, BAM!).
11- Avatar:
Think of your avatar before you write the email. Ask “Will they find this interesting?”… Or once you’ve written your first draft “How can I make this more interesting?”
12- Your first draft is not final:
Don’t try and write the perfect email. Write your first draft, then edit, edit and edit again
